Spare Parts Coordinator

About the role

In this role, you will be responsible for ensuring the accurate, timely availability of spare parts to support reactive service calls, preventive maintenance, and installations. The role plays a key part in minimising equipment downtime, supporting technicians, and maintaining effective inventory and cost control.

Role Title: Spare Parts Coordinator

Location: Thomastown, Victoria, Australia

Hours: Monday – Friday, 12-month contract, full time basis

Reporting: Service Manager - Victoria

Essential Skills & Qualifications

• Previous experience in spare parts, inventory or service coordination roles
• Excellent organisation and time management skills
• Comfortable navigating necessary computer systems essential for warehouse upkeep
• Strong verbal and written communication skills with high attention to detail
• Ability to remain composed in a fast-paced work environment and under pressure

Duties & Responsibilities

• Assist with stock control and purchase orders
• Prepare and manifest run sheets, invoices and outgoing paperwork, as well as registration and processing warranty claims, returns and core exchanges
• Follow through on orders, arrange new deliveries as required
• Liaise closely with technicians by confirming correct parts are readily available for each job
• Prioritise parts based on job urgency, SLAs, and client requirements
